Advice on sharing items between groups

Hi

We have a rather large collection of items (about 1500). As the organisation grows (currently 110 users) we will like to exert a more fine grained control with who have access to what items. The way we are thinking about the issue, is that we would like to have different groups to have access to both a shared subset of items and to group specific items.

In other forum threads there are talks about linking the same item to multiple vaults (e.g. https://discussions.agilebits.com/discussion/71238/duplicate-passwords-across-different-vaults). And indeed such a feature seems like it would fit our needs.

With the current feature set we can solve this with multiple vaults and then allow access to the relevant groups. Since vaults are the only thing that can be shared between groups, this is the only solution I can think of. In our case that would properly mean that each customer would have it's own vault. It might very well be the correct solution, but with many small customers that needs to be serviced from multiple teams (groups) it seems to be overkill. Talking this approach to the max in our case, we could end up with hundreds of vaults.

What is your advice to best share items between groups?

  • Hi @emilr - Thank you for reaching out to us and I appreciate your feedback. The best suggestion is to figure out who needs access to what items, and then add the data to the vaults. You can use groups to make it easier. Once you notice a couple of items in a vault that person X should have access to, and other items within the same vault they should NOT have access to.
